Data Privacy Notice
Summary
ASTRA Community Projects conforms to the General Data Protection Regulations (GDPR) that came into effect on 25 May 2018. We wish to assure supporters and associates that our privacy policy is that we will never pass your details on to any third parties. Supporters and associates will always have the option to unsubscribe at any time. You have the right to request ASTRA Community Projects to remove your personal information, and you can do so by emailing the Chair at astra@bowbrickhill.com
Introduction
This Data Privacy Notice describes the categories of personal data ASTRA Community Projects process and for what purpose. This notice applies to members, patrons, guardians, supporters, volunteers, professional advisors and suppliers, donors and members of the public who will make contact with the ASTRA Community Projects, which are defined broadly as supporters and associates.
Who we are
ASTRA Community Projects is a subcommittee of the Parochial Church Council of All Saints, Bow Brickhill. Its major project is to re-build the Church Hall in the village, which will ensure that this community building can continue for at least another 50 years to provide a base for a wide range of village groups and activities, including its role as home to the Pre-School.
Data held about supporters and associates
Our primary means of communication is by email. We also communicate to supporters and associates by paper means, normally through the monthly Bow Brickhill Village Newsletter. Our website also provides information on events and progress.
We collect data when individuals join our email list or offer to be on our paper lists of associates and supporters. The provision of email addresses is essential to enable us to undertake our legitimate interests. Supporters and associates understand that information they provide will be held on a database to which only members of the subcommittee have access and then only for ASTRA Community Projects’ purposes.
Sharing personal data
We will never sell your personal information to any third party and we will never share your details with any third party for marketing purposes.
Use of personal data
In compliance with GDPR we keep personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.
We use personal data:
- to provide information about meetings and activities
- to administer recordsof patrons, guardians, supporters, donors and other parties interested in the goals of ASTRA Community Projects
- to maintain our own accounts and records.
How we store personal data
We collect the minimum data consistent with proper administration of the group.
We have a number of safeguards in place to protect your data. Care is taken to store paper-based information securely. The same applies to the limited amount of data stored electronically, which is password protected. Typically our records are restricted to email addresses, but further details are required, for example, in the processing of Gift Aid declarations.
Data Retention
We will process your data during your association with ASTRA Community Projects and will not keep your data for longer than necessary after your involvement with the ASTRA group finishes.
Your Rights
If we are holding your personal data, under GDPR you have the following rights:
- Right of access – to request a copy of your data
- Right of rectification – to correct data that we hold which is inaccurate or out of date
- Right to be forgotten – to be erased from our records
- Right to restriction of processing – to limit the amount of information held
You can cancel your association with ASTRA Community Projects at any time, and request that we no longer contact you.
If you have a complaint about our handling of your data you can raise queries or complain to the Chair, who acts as Data Controller/Data Processor of the rights of access to information held by ASTRA Community Projects.
